Job Description

Key Responsibilities:

  • Order Processing:
  • Receive and review new customer purchase orders for accuracy, including pricing, products, and shipping requirements.
  • Reconcile purchase orders with the CRM sales pipeline to ensure consistency.
  • Accurately code orders in SAP, including sales regions and market codes.
  • Order Fulfillment Coordination:
  • Schedule and manage order shipments, verifying inventory availability and coordinating with production, warehouse, and logistics teams.
  • Obtain and provide freight quotes, and schedule transportation to meet customer delivery needs.
  • Negotiate and resolve freight disputes as needed.
  • Manage third-party material purchases for drop-ship orders.
  • Coordinate product conversions, labeling, and QC testing as required.
  • Customer Communication & Support:
  • Provide order acknowledgments, updates on truck schedules/tracking, and order change confirmations to customers.
  • Liaise with stakeholders to resolve order issues and provide alternative solutions when necessary.
  • Process return orders and handle credit/debit memos, including monthly pricing adjustments.
  • System & Documentation Management:
  • Maintain accurate and up-to-date information in SAP, shipping dashboards, TMS, and CRM systems.
  • Ensure all QC documentation and relevant order materials are provided to customers.
  • Review daily order books to identify missed schedules and rearrange as needed, communicating changes to all stakeholders.
  • Comply with company standards to achieve “right first time, every time” order fulfillment.

Qualifications & Skills:

  • Previous experience in order management, fulfillment, or customer service in a manufacturing environment.
  • Proficiency with ERP systems (SAP preferred), CRM systems, and shipping/logistics platforms.
  • Strong attention to detail and problem-solving skills.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Familiarity with pricing and freight logistics is a plus.
