Job Description

We are a growing pelvic health specialty practice offering Physical and Occupational therapy, Acupuncture and Yoga. In addition, we offer community and group classes, and utilize a holistic health and wellness approach to care. The ideal candidate will play a crucial role in ensuring a seamless patient experience by managing front desk operations, coordinating patient appointments, and facilitating communication between patients and healthcare providers.

This position is ideal for someone who is positive, compassionate, self driven, organized and detail oriented. Previous customer service experience is required, previous administrative work is preferred.

This position is for 40 hours per week with some flexibility for the right candidate.

Responsibilities

  • Greet patients warmly and manage front desk operations efficiently.
  • Schedule and confirm patient appointments while maintaining an organized notes.
  • Answer phones and act as a point of contact for current and prospective patients
  • New patient and client acquisition and sales support to achieve positive new client conversion rates
  • Provide detailed explanations and clearly communicate via email, in person, and over the phone to our practice base and providers
  • Execute quality customer support with patience, compassion, accuracy, professionalism, and positivity
  • Follow up on referrals to the practice, clearly communicating about pelvic floor physical therapy, acupuncture and yoga to potential patients
  • Maintain tracking of referrals, inquiries, and current patients
  • Support our growing practice as we continue to build processes and procedures for administration
  • Change and manage linens, prepare treatment rooms, and clean equipment in between sessions as needed
  • Assist with marketing efforts and clerical projects
  • Collaborate with providers to ensure optimal patient care and satisfaction

Qualifications

  • Bachelors Degree preferred
  • 2 years customer service preferred
  • 1 year administrative/front desk experience preferred
  • Proficiency in front desk operations, including communication via phon and appointment scheduling.
  • Ability to communicate effectively with patients and team members.
  • Strong organizational skills with attention to detail in documentation review.
  • A compassionate approach to patient care with a focus on providing exceptional service.
